2. How we use your personal information

We use the personal information we collect for the following purposes under strict control. We do not use it for purposes other than those set out in this Privacy Policy.

1) We use personal information related to the development and operation of our “HR and payroll management system” and its relevant services (the information on users of our systems). The followings are some examples of how we use personal information:
To provide, develop, manage and protect “HR and payroll management system” and its relevant services.
To use for our company’s administration such as management of “HR and payroll management system” and its relevant services and contact in an emergency.
To inform of “HR and payroll management system” and any services introduced in that system and a variety of seminars and events.
To utilize for the contract agreement and procedures on “HR and payroll management system” and its relevant services.
To respond to inquiries about customer services and our supports.
To allow our customers to use their registered information for the “HR and payroll management system” and its relevant services.
To charge for the usage fee of our paid support for the “HR and payroll management system” and its relevant services.

2) The personal information on job applicants is reasonably necessary to:
recruit and select new employees.
inform of the recruitment process and its result.
implement the pre-employment procedures and give information on any other procedures.

3) The personal information on employees is reasonably necessary to:
manage human resources.

3. Outsourcing personal information we collect to third parties

1) We may outsource personal information we collect in the following cases with your consent. We may outsource the business operators which we evaluate, select and enter into a confidential agreement or control in its equivalent manner.

We may outsource a part of the human resource management of employee information to accountants.
We may manage and operate the “HR and payroll management system” in the external data center.
We may outsource the “HR and payroll management system” and its relevant services to subcontractors.
We may outsource to our affiliate companies in the process of recruitment.

4. Providing and sharing personal information we collect with third parties

We do not provide or share the personal information we collect with third parties without your consent other than the following cases:
that we get your consent.
that is required by statute.
that there is an urgent need to protect human life, health, property.

5. Protection of Personal Information 

We shall set rules to protect the personal information we obtain, educate and have all workers to ensure the protection of personal information and supervise their compliance on a regular basis. Also, we dedicate ourselves to take and improve the necessary safety measures to protect the personal information we collect.

6. Procedures of disclosure, correction, suspension of use

1) Personal information for disclosure
“Personal information for disclosure” is defined as following at 3.4.4.1 in JISQ15001:2006: “Personal information for disclosure is personal information that is constituted systematically and composed collectively to search by electronic equipment and search specific personal information easily by organizing, classifying, submitting contents, index and mark that follow a constant rule. It provides the operator the right to comply notice of the purpose of utilization, disclosure, correction of content, addition, deletion, suspension of use, erase and suspension of providing for a third party.”
The information we obtain for use of “HR and payroll management system” is not “Personal information for disclosure”. Thus, we shall not provide this information for the request of the disclosure.

2) “Personal information for disclosure” we hold is:
the customer information we obtain directly in every division.
a) information on customer service
information on our customer such as business card
personal information on employment management of our employees
information on applicants for our company
information on an inquiry about our services

3) Inquiries for requesting disclosure
Please contact our Private Information Protection Inquiries Desk below for requesting disclosure. If you request for notice of the purpose of utilization, disclosure, correction of content, addition, deletion, suspension of use, erase and suspension of providing for a third party regarding your personal information we hold, please fill in our request form and submit it to us.

4) We will confirm your identity upon requesting disclosure. In case, we may ask you to submit a copy of your official certificate by mail.
* If the claimant is a proxy, you shall submit a power of attorney and copies of formal documents identifying both yourself and the claimant status. Please send these documents by a registered mail. We do not accept any request via telephone, email or FAX.
* If the claimant is a legal proxy of minors or adult ward, please show a document certifying the legal qualification.

5) We will charge up to 1,000 JPY for each request for disclosure such as “notice of the purpose of utilization” and “Personal information for disclosure”. We will contact you if the fee goes beyond the above amount.
